CASE 04 — CASE STUDY

Workflow Automation

Hours of weekly retyping removed and follow-up that happens on its own.

Most small teams lose hours a week to copying information between tools. This work connects the systems a business already uses — using Make, APIs and native integrations — so the admin happens quietly in the background.

The challenge

What needed solving

  • Enquiries arrived by email and were manually copied into a CRM and a spreadsheet.
  • Orders needed to be re-entered into an operational process before fulfilment.
  • Follow-ups depended on someone remembering, so leads went cold.
  • Reporting relied on assembling data by hand at month end.

Approach

How we worked

01

Map the real process

We start by documenting how information actually moves today, including the informal steps people do without thinking about them.

02

Automate the repetitive middle

Scenarios in Make, plus direct API calls where needed, pass data between the website, CRM, ecommerce platform, spreadsheets and email.

03

Add guardrails

Validation, deduplication, error alerts and fallbacks mean a failed step is visible rather than silently lost.

04

Measure and extend

Once the core flows are stable, we add reporting and extend automation into the next process rather than trying to solve everything at once.

Outcomes

Where it landed

  • Repetitive data entry removed from the daily routine.
  • Faster, more consistent follow-up on new enquiries.
  • A single reliable record instead of three partial ones.
  • Reporting available without a manual month-end scramble.
